This policy explains, in plain English, what personal information we collect, why we collect it, and the rights you have over it, because you should be able to understand what happens to your information without needing a law degree.

It covers both of our websites, juliettesmith.co.uk and onlinerelationshipcourse.com, along with our online courses, our mailing list, our live group sessions, and our coaching and counselling services.

1. Who we are

The Relationship Coaches Limited (“we”, “us”, “our”) is a company registered in England and Wales. Our company registration number is 06979356 and our registered office is at Suite 478, 5 High Street, Maidenhead, Berkshire, England, SL6 1JN.

We are what data protection law calls the “data controller”. That simply means we are responsible for deciding how and why your personal information is used, and for keeping it safe.

We are registered with the Information Commissioner’s Office (ICO), the UK’s regulator for data protection. Our registration reference is ZA072050.

2. The information we collect

Information you give us directly, for example when you:

  • sign up for a free resource or join our mailing list — usually your first name and email address;
  • buy a course — your name, email address and billing details (your card details are handled directly by our payment providers, and we never see or store your full card number);
  • fill in a reflection, feedback or comment form — whatever you choose to write;
  • send us a message through a contact form or by email — your name, email address and the contents of your message;
  • take part in a live group session — the first name you join with, anything you choose to say or type, and, if the session is recorded, your image and voice if you appear on camera or speak;
  • book or enquire about individual coaching or counselling with Juliette — your contact details and information about what you would like support with;
  • complete an intake or registration form before starting coaching or counselling — the details you give about yourself, your situation and what you would like to work on.

Information we collect automatically when you visit our websites, such as your device and browser type, your approximate location, the pages you look at, and how you arrived. This is collected through cookies and similar tools. There is more about this in section 8.

3. Personal and sensitive information

Because of the nature of our work, you may choose to share personal experiences about your relationships, feelings and circumstances — for instance in a reflection form or during a group session. You are never required to share anything you would rather keep private.

Where you choose to share a reflection or comment that we may publish, such as a testimonial, we will only do so with your clear, opt-in consent, and you can choose to be credited by your first name, your initials, or anonymously. We treat anything personal you share with care and do not use it for any purpose you have not agreed to.

4. How and why we use your information

Data protection law says we must have a valid reason, called a “lawful basis”, for using your information. The table below sets out what we use your information for and the basis we rely on in each case.

We will only ever use your information for the purposes set out above, or for closely related purposes you would reasonably expect.

5. Individual coaching and counselling

As well as our online courses, Juliette offers individual coaching and counselling. If you book or enquire about this work, we collect your contact details and, through an intake form, information about yourself, your situation and what you would like to work on. Sessions are usually held online over Zoom, and occasionally by telephone.

During a session you may share personal, and sometimes sensitive, information about your relationships, your feelings and your circumstances. You are always in control of what you choose to share. Because this kind of information is sensitive, we rely on your explicit consent to hold and use it, we keep it confidential, and we use it only to provide and support your sessions. Juliette works to the ethical codes of the BACP (British Association for Counselling and Psychotherapy) and the ICF (International Coaching Federation).

Juliette keeps written notes of sessions, held securely and confidentially for around five years. From time to time she may discuss her work with a professional supervisor, which is a normal part of maintaining high standards in coaching and counselling. In those discussions you would only ever be referred to by your first name.

We do not share anything else from your individual sessions with anyone, except where you have asked us to, or in the rare circumstances where the law requires it or where there is a serious risk to your safety or someone else’s. If that situation ever arose, Juliette would do her best to talk with you first about what happens next.

6. Who we share your information with

We do not sell your personal information to anyone. We share it only with the trusted service providers who help us run our business, and only with what they need to do their job. These include:

  • Kajabi — the platform that hosts onlinerelationshipcourse.com, our online courses, member accounts, landing pages and mailing list;
  • Stripe and PayPal — our payment providers, who securely process course payments (we never see or store your full card details);
  • Zoom — which we use to run our live group sessions and individual coaching and counselling sessions, including any recordings;
  • a professional supervisor, with whom Juliette may discuss her coaching and counselling work to maintain professional standards, referring to you by first name only;
  • our professional advisers, such as our accountant, where needed;
  • regulators, authorities or law enforcement, where we are legally required to share information.

7. Sending information outside the UK

Some of our service providers, including Kajabi, Stripe, PayPal and Zoom, are based in the United States, which means your information may be stored outside the UK. Where this happens, your information stays protected by the safeguards that UK data protection law requires for transfers of this kind. In practice these safeguards are built into the standard data protection terms that these providers operate under, such as data transfer clauses approved for use in the UK. We choose established providers that offer this protection.

8. Cookies

Cookies are small files placed on your device when you visit a website. Some are essential for the site to work, while others help us understand how the site is used or remember your preferences. When you first visit, you can choose which non-essential cookies to accept.

9. How long we keep your information

We keep your information only for as long as we need it. In practice this means:

  • if you are on our mailing list, until you unsubscribe, after which we keep a minimal record only to honour your choice not to be contacted;
  • if you have bought a course, for as long as you have access to it, plus the period we are required to keep financial records (usually six years for tax purposes);
  • if you have sent us an enquiry that does not lead to a purchase, for a reasonable period and then we delete it;
  • if you have had individual coaching or counselling, we keep any session records securely and confidentially for around five years;
  • if you have agreed we can publish a reflection or testimonial, until you ask us to remove it.

10. Your rights

Under UK data protection law you have a number of rights over your personal information. You can ask us to:

  • give you a copy of the information we hold about you;
  • correct anything that is wrong or incomplete;
  • delete your information, where there is no good reason for us to keep it;
  • restrict or object to how we use your information;
  • provide your information in a portable format, where this applies;
  • withdraw your consent at any time, where we are relying on consent (for example, you can unsubscribe from our emails whenever you wish).

11. Keeping your information secure

We take reasonable steps to keep your information safe, and the providers we work with use measures such as encryption and secure servers. No method of sending information over the internet is ever completely secure, but we do our best to protect your information and to follow recognised practices for keeping it safe.

12. Social media and links to other websites

Our websites include links and buttons to our social media pages, such as Facebook, LinkedIn, Instagram and YouTube. If you click one of these, or interact with social media content shown on our site, the platform concerned may collect information about you under its own privacy policy, which we do not control. We would encourage you to read the privacy policy of any platform before using it.

13. Children

Our websites, courses and services are intended for adults. We do not knowingly collect information from anyone under the age of 18. If you believe a child has given us their information, please contact us and we will delete it.

14. Changes to this policy

We may update this policy from time to time, for example if we change the way we work or if the law changes. The date at the top shows when it was last updated, and where the changes are significant we will let you know.
